Executive Calendar Manager & Personal Assistant
Location: Bergen County, NJ
Schedule: Full-time, in-person, with global time-zone flexibility
Compensation: $200,000, commensurate with experience
A prominent UHNW principal with extensive global business interests is seeking a highly sophisticated Executive Calendar Manager to oversee, protect, and optimize a demanding, fast-moving schedule. This is a presidential-level support role for an individual who operates across multiple countries, industries, and time zones.
Key Responsibilities
Calendar Mastery & Prioritization
- Own and manage a complex, high-volume calendar with absolute accuracy
- Prioritize meetings and commitments to protect the principal's strategic time
- Anticipate scheduling conflicts and proactively resolve them before they arise
- Coordinate seamlessly with internal teams, legal, finance, and global partners
Communication & Gatekeeping
- Serve as a primary scheduling liaison for high-level stakeholders
- Execute clear, polished communication on behalf of the principal
- Maintain strong working relationships across internal and external networks
Operational Support
- Streamline daily workflow to reduce operational friction
- Track priorities, follow-ups, and meeting prep requirements
- Support both personal and professional scheduling needs
Confidentiality & Discretion
- Handle sensitive information with absolute confidentiality
- Exercise impeccable judgment in all interactions
- Maintain the highest standards of professionalism and trust
What We're Looking For
- 5+ years supporting a CEO, UHNW principal, founder, or similarly demanding executive
- Proven expertise in complex calendar management across multiple time zones
- Russian language skills a plus, but not required
- Exceptional organizational intelligence and ability to think several steps ahead
- Strong emotional intelligence, presence, and composure under pressure
- High proficiency with digital tools, communication platforms, and scheduling systems
- Flexible, adaptable, and comfortable with rapid changes in priorities
- Ability to travel domestically or internationally when needed
- Strong references demonstrating loyalty, discretion, and reliability
- Authorization to work in the U.S.
